The Business:

CK Signs is a signage and graphics company providing design, printing, and fabrication services. They handle everything from initial customer enquiries through artwork design, printing, and workshop assembly to final installation.

The Bottleneck:

CK Signs was managing jobs across multiple disconnected systems - Clarity for quotes and job creation, Slack for visuals and updates, physical job cards moving through departments, and Sage for invoicing. 

This fragmented approach meant information was scattered, jobs could get lost between departments, and the entire process relied on physical paperwork moving through the building. 

There was no single source of truth, making it difficult to track job progress, schedule work effectively, or generate meaningful reports. The manual handoffs between departments created delays and opportunities for miscommunication.

The Solution:

We built a custom job management application that digitises the entire CK Signs workflow from enquiry to invoice. The system tracks each job through every department - design, print, workshop, and billing - with real-time status updates visible to everyone. Key features include:

  • Customer and quote management integrated with job creation

  • Department-specific task lists showing exactly what needs to be done

  • Image uploads at each stage to document progress and share visuals

  • Notes and comments for inter-department communication on each job

  • An activity feed,to handle discussion and communications across departments

  • Management reporting and scheduling across all jobs and departments

  • CSV exports for data analysis in Excel

  • Secure user logins with differentiated, role-based access for different departments
